- How does a "Selected File work"?
Tell me more...
Sometimes a Program user loses their CTF data or is not up-to-date with the Area/Central office data. So, the Area/Central office can Export or extract the Program data into a Selected file, then the Program user can Import or trade-in the Selected data file into their CTF database.
Here's some specific rules whenever a Selected file is imported:
- The Client records from the Selected file will overwrite all matching records.
- Any new Client records from the Selected file will be added.
- Any existing Client records that don't match will be kept. This includes new Clients that have been added, but not yet transferred and any existing Client records from a different Program ID.
Here's how to Export Program records into a Selected file:
- To export data, click on Utilities/Export Selected Records.
- Enter a Program ID and click on the "Show Selected Records" button.
- It will display a record count, along with a list of records to be exported.
- Click on the "Export" button to continue.
- This will create s file called "Selected_xxxxxx.mdb", where xxxxxx is the Program ID.
- All done!
